We can typically get you scheduled and seen for services within 2-3 weeks depending on your availability. 

Because we are a private pay office and not billing insurance, we do not need a physican referral to begin services. Occupational Therapy is considered direct access in the state of Michigan, meaning that we can provide services without the supervision of a child's physician. 

We are a private pay office, meaning that all our services are billed directly to you and due at the time of service. We utilize Ivy Pay, which is a HIPAA compliant payment processor and always you to store your credit card and be billed automatically for ongoing services. We also accept cash and check. Cash discounts and sliding scale pricing is available. You will automatically be provided with a superbill for all occupational therapy services, which is a document that you can submit to your insurance for out-of-network coverage (specific coverage depends on your plan). 

We understand that life happens and always work to be as flexible as possible! If you need to cancel an appointment, we ask that you reach out to our office as soon as possible. We do not charge a cancellation or no-show fee; however, if there are frequent cancellation or repeated no-shows, we will talk with you to adjust the schedule to better meet your needs. 

We do not specifically follow any local school schedule, however we tend to follow the general rhythm of Kalamazoo Public Schools. We close during any weather-related KPS school closure in the winter months. We also tend to close for 1-2 weeks during the winter break, 1 week during spring break, and often close during the first week of school. We value the natural rhythms that life allows throughout the calendar year and also value providing balance to our staff. 

Our office values a responsive, play-based and relationship centered approach to care as we work to support a child's unique development, needs, and interests. We value connection over correction and are always considering the "why" of big behaviors and challenges. Our providers value collaboration and interdisciplinary care. We take a deeply neurodiversity-affirming and trauma-responsive approach to all the care we provide and pride ourselves in taking these phrases and actually living them out in our work. In our nearly ten years of business, we have supported many trans youth, kids and families in the LGBTAIA+ community, and are continuously reviewing our services, approaches, and interventions to assure that we are offering safe, affirming spaces. Our occupational therapy staff are also all Trust-Based Relational Intervention (TBRI®) practitioners. We collaborate with other Michigan TBRI® practitioners and actively continue our learning within the complex world of trauma. We have worked closely over the years with the previous CTAC (Children's Trauma Assessment Center), the WMU Resiliency Center for Assessment and Treatment, and other local mental health providers working within the field of trauma. 

We are a private pay office, so we do not bill directly to insurance. We are able to provide a superbill for evaluation and treatment session, which can be submitted to your out-of-network benefits. We can deeply about creating access and acknowledge the limits that private pay creates. However, insurance companies have increasingly limited our ability to provide the type of care that we value and believe in. By operating without insurance contracts, we are able to expand our services to include caregiver coaching, maintenance care, parent education, and more. We also parter with a local non-profit called Family Hope Foundation, which our families can apply to their twice annual scholarship of up to $1,000 each cycle which can be applied to our services. We are also always open to exploring a sliding fee scale and pro bono services as we are able. 

You will always be an integral part of your child's care at our office. We welcome you to be a part of every session, whether that is sitting in for the full session or joining for any part along the way. We always send families a copy of the evaluation report and then stay in frequent communication throughout your child's care. We believe that as the parent, you are your child's expert and know them best. We look to partner with you and walk along side you in their care.
